The word “trip” encompasses all itineraries, including those that may be referred to as walks, tours, treks, trips, sightseeing, climbing, mountaineering, expeditions, or vacations, as used in these websites and booking terms.
The terms “our,” “we,” and “us” in these terms and conditions refer to the “Himalayan Explore Line”. And You (“client,” “traveler,” or “participant”) accept the following terms and conditions by making a reservation with us. Please note that while booking a trip, you are agreeing to be bound by the Terms and Conditions as well as the cancellation policy and certain limitations of liability. Both parties agree to these Terms and Conditions to resolve any legal or other disputes that may arise during the trip.
Reservation and Payment
To secure the booking, a 30% non-refundable deposit is needed at the time of booking. You can pay the remaining amount prior to your trip’s departure. Before you arrive in Nepal, we would love to have your confirmed reservation in advance. This allows us the opportunity to plan your trip properly.
You can pay with a digital wallet, credit card, or bank transfer (processing costs may apply). Card payments are subject to a 4% surcharge, which is applicable to all payments, including deposits, final balances, trip extensions, and other transactions.
Any kind of pre-booking for one of our available trip packages won’t be confirmed until the client who made the original reservation has received a Client Confirmation Letter from us. Clients must correctly complete the booking form with all required information, including name, address, email address, mobile number, arrival and departure dates, etc., in order to receive our confirmation letter.
Policy on Cancellations and Refunds
By Client:
More than 2 months before departure: 80% refund of total cost.
29 days to 2 months before departure: 70% refund.
Less than 15 days before departure: 50% refund.
Cancellations made less than 7 days before the trip will be eligible for a 50% refund, which will be credited toward any future trip organized by our company. Please note, if you choose not to join a future trip, this credit cannot be exchanged for a monetary refund.
It is highly recommended that the client purchase cancellation insurance at the time of booking. Please be aware that if you voluntarily cancel a trip after it has started, there will be no refund for that trip. Accommodations, transportation, sightseeing, meals, and services that are not used will not be refunded.
By Company:
If Himalayan Explore Line has to cancel a trip because of unanticipated events (such as natural catastrophes, cancelled flights, strikes, industrial action, wars, riots, illness, quarantine, government interference, bad weather, or other unfortunate events). You are entitled to get an offer for an alternative trip of the same value and features in mutual understanding.
Furthermore, please be aware that major changes do not include changing the airline carrier, schedules of flights, or itineraries as long as both your departure and arrival dates stay the same. This applies to hotel accommodations as long as they fall under the same category.
Change to Itinerary
If there are delays in domestic flights at the start and end of the trip, the itinerary may be altered. In the high altitudes, the weather is completely unpredictable. A certain amount of flexibility is necessary for the trip, and you must be aware that local conditions may cause changes to the itinerary, lodging, and transportation options at short notice. The client is responsible for paying all additional day charges resulting from floods, natural disasters, or flight delays. If you wish to make an alternative arrangement, such as a Helicopter flight to avoid flight delays, all additional costs would be your responsibility.
These modifications are binding, and you will be responsible for any additional costs if the reason for any change is not within our company’s control.
Insurance
Himalayan Explore Line does not cover the customer’s travel insurance when they are traveling in the Himalayas. The client should purchase travel insurance that covers any emergency casualties while trekking and exploring the high altitudes of the mountains. Medical costs for accidents, injuries, illnesses, and fatalities, including those associated with pre-existing medical problems, emergency repatriation (including, if necessary, air ambulance and helicopter rescue), and personal liability must all be covered by your travel insurance. Delays and cancellations of trips should also be covered by insurance.
Note: Apart from that, the company has the right to cancel or stop your participation in a trip without providing a refund if you are unable to show proof of travel insurance upon request.
Fitness and Health Requirements
Before commencing the trek, trekkers should be in good psychological and physical condition. When making travel reservations, clients should disclose any medical issues that they have. The client will be charged 100% of the cancellation price if the company is not informed of any such condition that leads to cancellation.
As a company, we will prioritize the guests’ health and safety, but we only take action based on the conversation we had during the booking procedure, and therefore, the Company is not liable for not providing any other special requests during the treks.
Visa, Passport and Permits
Customers must have a valid, approved passport that is at least six months old as of the return date. In the same way, they should have the proper Nepalese visa when they go to Nepal for their scheduled vacation.
You must make sure you have the appropriate visa of Nepal. If you are denied entrance to Nepal or the location due to improper visa papers, the company cannot be held accountable.
In the case of permits (such as TIMS, ACAP, or restricted area permits), Himalayan Explore Line can assist with the arrangements.
Trip Amendment
If the company receives the request for a booking amendment at least 30 days before the departure of your travel. In that instance, the business will charge $100 per individual to make the required change. The cost of the amendment may increase if you want to make changes within 30 days of the trip’s departure, based on the company’s agreements with other parties like hotels, guest houses, ground operators, or airlines. The trip cannot be changed once the permit is issued, or the clients will be billed the permit fee.
Code Of Conduct
It is expected of clients to abide by local laws, customs, and environmental regulations. When taking photos and videos, refer to the guide or search for nearby symbols. Ensure everything is safe and sound on your end. Take into consideration dressing completely, covering your entire body, when touring Nepal’s historic temples and shrines. Any conduct that is judged to be damaging, unlawful, or impolite may lead to expulsion from the trip without reimbursement.
Risks and Liability
When making a reservation with Himalayan Explore Line, you should be aware that we offer adventure trips, which don’t have the same amenities as a typical vacation or at home, including lodging, transportation, safety, hygienic conditions, and telecommunications. You should acknowledge that there is a significant personal risk associated with this kind of holiday.
Safety and Privacy
We constantly provide you with the most genuine services, and we promise that none of our employees will damage or take your possessions. We will change the itinerary, duration, and other details, particularly if there are weather-related issues or group members become ill or are injured. The personal information obtained at the time of booking will only be utilized to make travel plans and will only be disclosed to the appropriate third-party service providers. We will not disclose or sell any of your personal information, including your name, address, credit card number, shopping, or transaction history. We may occasionally utilize the client’s photo and videos for our advertising, unless you specifically tell us not to. We firmly adhere to and constantly protect personal privacy.
Complaints & Dispute Resolution
Inform your guide or trip leader right away if you have any complaints while on the trip. Then, if required, he or she will get in touch with us and take the appropriate steps to resolve the problem. We, at Himalayan Explore Line appreciate your input and are dedicated to promptly and equitably addressing any issues you may have.
Acceptance of Terms
These terms and conditions are subject to change at any moment by the company. The client is in charge of staying informed of any changes. When you made your reservation, you read the terms and conditions, accepted them, and agreed to follow them. By booking your selected trip with Himalayan Explore Line, you acknowledge and accept the associated responsibilities and terms.
